Job Purpose
To support the Procurement Division in the planning, sourcing, and management of goods, works, and services in a manner that ensures value for money, timeliness, and strict compliance with the PPDA Act and organizational procurement policies.
Key Duties & Responsibilities
- Participate in the preparation and implementation of the approved Procurement and Disposal Plan.
- Prepare draft bid documents and participate in the evaluation of bids as and when assigned.
- Prepare and issue Local Purchase Orders (LPOs) and contracts upon approval.
- Follow up with suppliers and service providers to ensure timely delivery of goods and services.
- Prepare weekly and monthly procurement reports on procurement activities.
- Ensure all procurement activities comply with the PPDA Act, Regulations, and entity procurement policies.
- Accurately capture and update procurement data in the PPDA Portal and Contract Register.
- Compile, document and maintain safe custody of procurement and disposal records
- Assist in basic contract administration and monitoring of supplier performance.
- Perform any other duties as may be assigned from time to time by Senior Procurement Officer or Management.
Person Specifications
Academic Qualifications
An Honours Degree in Procurement and Supply Chain Management, Business Administration (Procurement option), or a related field from a recognised university.
Key Competences
- Sound knowledge of the PPDA Act and Regulations.
- Proficiency in IFMIS, e-GP, PPDA reporting systems, and general computer applications (MS Word, Excel, email).
- Strong analytical, documentation, and report-writing skills.
- High level of integrity, confidentiality, and attention to detail.
- Good interpersonal, communication, and teamwork skills.
- Ability to work under pressure and meet strict deadlines.
